Everything Nalo knows, in one place. Chat is great for quick actions. The /config panel is where you see the whole picture, clean up data, and tune settings.

Getting in

Type /config in chat with Nalo.

Nalo replies with a fresh 30-minute login link:

πŸ”§ Here’s your settings link: https://app.heynalo.app/c/e2f24387

This link expires in 30 minutes.

Tap it. You’re in. No password, no 2FA β€” the link itself is the credential.

Why 30 minutes?

  • Short enough that a screen-share or forwarded link can’t be reused later
  • Long enough for a real work session
  • Auto-extends when you’re active

If it expires: type /config again for a fresh link.

Three primary tabs always visible: Dashboard, Clients, Schedule.

Overflow menu (...) contains secondary tabs:

  • Profile
  • Services
  • Employees
  • Crews
  • Expenses
  • Memory

Dashboard

“This month” stat cards

  • Quoted β€” sum of quotes created this month
  • Invoiced β€” sum of invoices created this month
  • Collected β€” sum of payments received this month
  • Outstanding β€” sum of balance due across unpaid invoices
  • Expenses (new) β€” sum of logged expenses
  • Net (new) β€” collected βˆ’ expenses

Needs Attention

Surfaces items that need you:

  • Overdue invoices (>7 days past due)
  • Quotes untouched for 10+ days
  • Appointments without a client phone (can’t remind)
  • New clients without addresses (can’t route)

Recent Activity

Chronological list of the last 10 things that happened: quotes created, invoices paid, appointments booked, expenses logged.

Monthly Recap card

Shows last month’s AI recap in full. Regenerate button to force a fresh one.

Clients

  • Search by name, phone, email
  • Add Client β€” inline form with split phone (country code + number), address with validation
  • Edit any client β€” tap the card
  • Memory section per client β€” notes Nalo has gathered or that you’ve added manually
  • History β€” every quote, invoice, appointment with this client (one scroll)

Address validation on blur

When you type an address and tab out, Nalo calls the geocoding service:

  • βœ… Validated β€” address resolved with GPS coords
  • ⚠️ Partial β€” street found but ambiguous
  • ❌ Failed β€” couldn’t resolve

Green checkmark appears next to validated addresses. Invalid ones can still be saved β€” route planning just won’t optimize them.

Schedule

Weekly grid view:

  • 7 day cards in a row, Monday–Sunday
  • Today highlighted in teal
  • Appointments shown as teal-bordered cards with time, client, location preview
  • Tap any appointment β†’ inline edit form (change time, date, location, crew, notes, delete)
  • Arrows at the top to flip weeks
  • Add Appointment button
  • Crew dropdown on the appointment form β€” hidden if you only have one crew

Deleting recurring appointments

When you delete a recurring one, Nalo asks:

Delete what? β—‹ Just this one β—‹ All upcoming [Cancel]

Profile (... β†’ Profile)

Standard fields:

  • Owner name, business name, phone
  • Email, website, social media links
  • Address (split into street, city, state, zip OR raw)

New “Billing” section

  • Sales tax rate (%) β€” applied to new quotes/invoices
  • Deposit required (%) β€” shown on quotes
  • Default payment terms β€” free-text (“Net 15”, “Due on receipt”)
  • Google review link β€” enables automatic review requests
  • Document language β€” English / Spanish dropdown

Language preference stored per business. Flipping this changes all future PDFs (existing ones are not regenerated).

Services (... β†’ Services)

Your service catalog. Each service has:

  • Name β€” “Drain cleaning”
  • Base price β€” numeric
  • Billing unit β€” per_job, per_hour, per_visit, per_day, per_unit
  • Description β€” 2–3 sentence professional copy

Services feed quote suggestions β€” when you say “quote Mrs Lewis for drain cleaning”, Nalo uses your pricing.

AI help button

On each service card, an “AI Help” button generates a professional description from the service name. Saves typing.

Employees (... β†’ Employees)

  • + Add Employee β€” inline form
  • Edit button on each card β€” inline form with name, phone, role, hourly rate
  • Remove button β€” soft-deletes; history preserved

See Crews & employees for details.

Crews (... β†’ Crews)

  • + Add Crew β€” name only
  • Rename β€” tap the name
  • Delete β€” the card’s delete button (prevented if this is the only crew)
  • Set as default β€” button on non-default cards
  • Members β€” chips with βœ• to remove
  • + Add member β€” dropdown listing employees not yet in this crew

Expenses (... β†’ Expenses)

  • Date range filter at the top β€” defaults to this month
  • Total + category breakdown chips
  • + Add Expense β€” inline form
  • Export CSV β€” download filtered range
  • List β€” date, category, vendor, amount, notes, remove button
  • Row tap β†’ inline edit (planned for v1.1)

Memory (... β†’ Memory)

Two sections:

Business memory

Facts Nalo has gathered about your business β€” pricing preferences, service rules, typical hours. Editable textarea.

Client memory

Per-client facts. Each client’s memory in a collapsible section. Click to expand, edit, save.

Why this matters: the AI reads memory before every response. Wrong memory = wrong answers. Right memory = Nalo anticipates your needs.

Cleaning up

Wrong fact? Edit the textarea, save. Nalo will use the new version in future conversations. No “undo” β€” memory is ground truth.

Settings not in the UI yet (chat-only)

Some preferences don’t have a UI field. Say these to Nalo:

  • Change default crew: “Make Morning Team the default”
  • Switch document language: “Generate quotes in Spanish”
  • Update memory: “Remember that I charge $200 minimum for any weekend job”

Session timeout & tokens

  • 30-minute timer per session (countdown in top-right)
  • Active use resets the timer to 30 minutes
  • Token is generated per-request and tied to your phone number
  • File-based token store β€” survives app restarts
  • Session ended? Type /config for a new link

Mobile vs desktop

The config panel is mobile-first β€” designed for thumb-driven use on a phone mid-job. Everything works on desktop too (pointer/cursor friendly), just bigger.

Analytics and tracking

/config loads:

  • Google Analytics (aggregated page views, no PII)
  • Microsoft Clarity (session replays, no PII)

Used to improve UX. No ads, no third-party sharing of your data.
