What Nalo does under the hood

When you mention a client + prices, Nalo:

  1. Extracts the client name — even partial names like “Mrs Lewis” or “Juan R.” work
  2. Expands shorthand into professional descriptions — “broken toilet 275” becomes a full line item
  3. Applies your tax rate — if you set one in /config (e.g., 8.25%)
  4. Applies your deposit policy — if you configured a deposit % (e.g., 30%)
  5. Creates line items with proper quantity / unit price / total
  6. Generates the PDF with your business logo, address, payment terms
  7. Saves the quote number for quick reference later

Multiple line items

Separate them with and, plus, +, or natural language:

The gutter cleaning shows on the PDF with (optional) next to it. Your client can opt in or out.


Frequency math

For recurring services, Nalo does the math for you:

Nalo calculates 4 visits/month × $45 = $180/month and creates the quote at $180.

Addresses and validation

Include the client’s address and Nalo validates it:

Adjusting a quote

Say B after the quote summary. Describe the change:

Add a 10% discount

Or:

Remove the parts line

Make the labor $250 instead of $200

Nalo cancels the current draft, creates a fresh version with your change, and shows the new summary.


Sending the quote to your client

After the PDF generates, you’ll see:

The quote status changes to SENT, with a timestamp so you know when it went out.


Quote PDF layout

Every quote PDF includes:

  • Your business header — logo, name, address, phone, email
  • Client block — name, address, email (if on file), date, quote number, valid-until date
  • Line items — numbered, alternating row colors, with full descriptions
  • Subtotal / Tax / Total — only if you have a tax rate set
  • Deposit required / Balance due — only if you have a deposit % set
  • Payment terms — your default (e.g., “Net 15”)
  • Validity note — “This quote is valid for 30 days from the date above”
  • Thank-you footer — “Thank you for choosing [business name]”

All content respects the document language. Spanish businesses get COTIZACIÓN, PREPARADO PARA, Válido hasta, Cant., Precio, Monto, TOTAL, Gracias por confiar en….


Modifying or canceling later

Get a list of your quotes:

“Show me my quotes” → Nalo lists recent ones with status

Regenerate a PDF:

“Generate PDF for Q-ABC12345”

Cancel:

“Cancel Q-ABC12345” → status → CANCELLED


Tips and pitfalls

What works well

  • Short descriptions → Nalo expands them professionally
  • Target totals without line items → Nalo creates reasonable breakdowns
  • Mentioning the address → Nalo validates + saves for route planning
  • Voice messages (see Voice messages) → transcribed and quoted

Watch out for

  • Very long recurring schedules — quote one month at a time, then set up recurring appointments
  • Mixing currencies — quotes use your business’s country currency only
  • Missing client name — if you forget to include a name, Nalo will assume you’re adding a service, not quoting. Say the client explicitly
